Warehouse Booking System

Warehouse Booking System

Warehouse Booking System

H&B was using handwritten notes and Excel sheets to manage the warehouse goods-in process. I joined the squad when a basic MVP version of a new system had been created, working closely with warehouse staff. I helped to refine it and integrate user feedback to optimise it, as well as using a design system to keep it consistent with all enterprise systems.

👥 Users

‣ Warehouse office-based staff managing bookings

‣ Floor staff checking schedules

‣ Forklift drivers loading goods in

🎯 Goals

‣ Replace Excel with a user-friendly system

‣ Reduce admin time and manual errors

‣ Support single + recurring bookings

‣ Enable real-time visibility across locations

🔍 Research

‣ Reviewed current workflows

‣ Conducted user interviews and on-site observations

‣ Identified key pain points: booking conflicts, lack of mobile access, time wasted on manual entries

✏️ Design & Iteration

‣ Created wireframes and prototypes aligned with user needs

‣ Validated designs with stakeholders and warehouse staff

‣ Iterated on usability feedback: slot visibility, recurring booking ease, and error prevention

🚀 Results

‣ Faster booking (from average 7 mins to 2 mins per booking)

‣ Less admin time (cut by 75%)

‣ Fewer booking errors

‣ Positive feedback from staff: more efficient, easier to use

Impact

The Warehouse Booking System significantly improved daily operations, reduced friction, and boosted staff confidence - demonstrating the value of user-centered design in complex, fast-moving environments.
